How to Trigger an SMS Send once a Calendly Event is Scheduled or Cancelled (Zapier)

What does this integration do?

If you would like to automatically feed scheduled Calendly events into Textla to automatically trigger an outgoing SMS message, you've come to the right place! With this integration set up, a text will automatically be sent to any contacts that schedule or cancel a meeting with your Calendly calendar.

Will I be charged for the outgoing messages?

If the number that the message is sending to is a valid US or Canadian number, your credit balance will be deducted 1 SMS credit for each outgoing message segment. We recommend that you enable auto recharge inside of your Textla account to ensure that these messages are always sending successfully, and not failing due to insufficient funds.

Steps

  1. On Zapier, click + Create, then Zaps

2. Click on 1. Trigger, search for Calendly, and select Calendly

3. Select the event you would like to use. (Invitee Created for booking confirmations, Invitee Canceled for cancelation confirmations)

4. Connect your Calendly to Zapier

5. Keep the Webhook subscription scope as user, and click continue

The user subscription scope only triggers the webhook for subscribed events that belong to the specific user. The organization subscription scope triggers the webhook for all subscribed events within the organization. You must be a Calendly organization owner or admin in order to be able to use the organization scope.

6. Test the trigger, and select one of the booked meetings to be used as an example in your Zap. Click Continue with the Selected Record.

If this step fails, the calendar link has likely not yet been used. Book a time with yourself on another page, then refresh Zapier to populate the new data.

7. Click 2. Action, search for Textla, and select Textla

8. Select Send Message for the Event

9. Connect your Textla account to Zapier

10. Select the Textla phone number you would like to send the message from for the From Phone Number field. (Your number must be verified inside of Textla, or it will not appear in Zapier. If you need help completing the number verification, check out this article)

11. Next, select the section of the Calendly booking where you collect the contact's phone number for the To Phone Number section. This will likely be called Questions and Responses # Answer. This will be the phone number that the text is attempted to send to.

Be sure to have a question on your Calendly calendars requesting phone numbers. This can be done by clicking into the calendar, selecting Booking page options, then adding a new question.

12. Type out the message that you would like to be sent when the meeting is booked / cancelled (depending on the Event selected in Step 3). You can use the Insert Data dropdown to select autofill sections. For example, Hey (First name), thanks for scheduling a time with us for (Event name)! 13. Test the step, and Publish it to make it live!
